Personal Information Protection Policy
(Privacy Policy)
This is a reference translation. The Japanese version shall prevail in the event of any discrepancy.
KarteCo Inc. (hereinafter, “the Company”) believes that making effective use of the vast amount of accumulated medical and health information leads to a further improvement in the quality of medical care and, in turn, to benefits for the public. Alongside developing and selling systems for the medical and health field, the Company operates a range of services that make use of medical and health information. Recognizing the importance of protecting personal information in medicine (in particular, the personal information of patients and others), the Company complies with the Act on the Protection of Personal Information and related laws, regulations and guidelines, and, as its basic policy on the protection of personal information, establishes the following Personal Information Protection Policy (Privacy Policy) and strives for the appropriate protection of personal information.
- The Company acquires personal information only to the minimum extent necessary to achieve its business purposes.
- The Company specifies the purposes of use of personal information as specifically as possible, and uses it within the scope of the purposes it has stated, notified or made public.
- The Company takes appropriate preventive measures against the leakage, unauthorized access, loss and falsification of personal information, and manages personal information safely.
- The Company responds appropriately to complaints and inquiries about personal information at its personal information consultation desk.
- The Company periodically reviews its personal information protection management system and works toward its continuous improvement.
- The Company comprehensively discloses to the individual concerned the acquisition, use and provision to third parties of information relating to that individual.
- Where an individual or other party requests correction or deletion of the content of their personal information, the Company investigates and responds appropriately.

Handling of Personal Information and Anonymously Processed Information
KarteCo Inc. (hereinafter, “the Company”) uses acquired personal information (personal data) and anonymously processed information as set out below, in accordance with the Act on the Protection of Personal Information, the EU General Data Protection Regulation (GDPR) and other related laws and regulations.
Purposes of use of personal information (personal data)
The Company uses acquired personal information (personal data) for the following purposes of use, and does not handle it beyond the scope necessary to carry out those purposes.
(1) Personal information (personal data) acquired from users of the Company’s products and services
- Research and analysis for product development or quality improvement
- Research and analysis of medical data
- To provide the Company’s web services (including guidance and communications from the Company to customers regarding the content or handling of services, service maintenance, and identity verification, among others)
- Sales activities and marketing regarding information and services related to the Company’s business, by mail, telephone, email or other means
- Other business incidental or related to the above
(2) Personal information (personal data) provided to the Company through inquiries, business cards or other means
- Sales activities and marketing regarding information and services related to the Company’s business, by mail, telephone, email or other means
(3) Information relating to access to internet servers operated and managed by the Company (including IP addresses and cookies)

Purposes separately notified to the individual at the time personal information (personal data) is acquired
Retention period of personal information (personal data)
The Company retains personal information (personal data) for the period necessary to carry out the purposes above, or within the period prescribed by laws and regulations, and promptly erases it once the retention period has been exceeded.
Provision to third parties
The Company does not provide acquired personal information to third parties without the prior consent of the individual concerned, except in the following cases.
- Where the handling of personal information is outsourced within the scope necessary to achieve the purpose of use
- Where provision is necessary to protect a person’s life, body or property, and it is difficult to obtain the consent of the individual concerned
- Where the provision of personal information is required by law
- Other cases prescribed by law
Safety management
The Company takes necessary and appropriate security measures to manage safely so that leakage, unauthorized access, loss, falsification and the like of the personal information it handles do not occur, and, to ensure this is thoroughly carried out, conducts awareness-raising and training activities for employees and supervises the parties to which it outsources personal information, striving to protect personal information.
Use of on-device information through applications
For some of the applications the Company provides, on-device information is used as set out below, only where the user has consented to this within the application.

Calendar integration and Google account
The Company acquires schedule and resource information from, and performs operations to register or delete schedules with, calendar applications.
In addition, to integrate with calendar applications, the Company acquires Google account information.

Import of image data
Image data on the device is imported. -
Use of the camera
The camera is used to take and preview photographs.
Captured images are imported into and used within the application, and are also uploaded to the application server (web server) and saved to internal storage or an SD card.
